Job Description

The National Bank of Commerce (NBC) is seeking a qualified and experienced Branch Operations Manager to support efficient branch operations and ensure the achievement of service, operational, financial, compliance, and performance objectives.

NBC is one of Tanzania’s longest-serving banks, with more than five decades of experience providing retail, business, corporate and investment banking, as well as wealth management products and services.

Job Purpose

The Branch Operations Manager is responsible for providing effective business and operational management to support excellent branch performance.

The role focuses on maintaining high standards of customer service, operational efficiency, treasury and cash management, general ledger controls, people management, security, compliance, and overall branch administration.

Key Accountabilities

1. Ensure Quality Service to Customers – 15%

  • Ensure staff are punctual and available to serve customers at all times.

  • Encourage customers to use electronic banking channels, including ATMs and Internet Banking.

  • Ensure an up-to-date customer complaints register is maintained and properly used.

  • Ensure sufficient stationery is available at all times.

  • Ensure customers are informed of applicable fees and charges.

  • Ensure staff maintain a professional appearance and conduct.

  • Ensure employees have adequate knowledge of NBC products, services, and documentation requirements.

  • Create an environment that enables frontline tellers to effectively meet customer needs.

  • Ensure monthly scorecards are prepared and submitted to Head Office on time.

  • Ensure customer queues are properly managed.

  • Maintain a clean, orderly, and professional banking hall.

2. Manage and Control General Ledger Accounts – 10%

  • Ensure suspense accounts are balanced daily.

  • Review General Ledger transactions posted each day.

  • Analyse the General Ledger Trial Balance for unusual or abnormal entries.

  • Ensure monthly General Ledger account reconciliations are completed within the required Service Level Agreement.

  • Follow up all outstanding reconciliation items.

  • Ensure all General Ledger vouchers are properly validated.

3. Ensure Operational Efficiency in the Branch – 15%

  • Minimise branch operational expenses where applicable.

  • Ensure expenditure remains within approved limits.

  • Ensure daily workloads are processed within established cut-off times.

  • Manage the issuance of Bankers Payment cheques.

  • Ensure the security of branch property and premises.

  • Maintain and regularly update the branch inventory.

  • Ensure vouchers, registers, reports, and other records are securely maintained.

  • Ensure fees are collected in accordance with prevailing tariff guides and circulars.

  • Ensure controlled stationery and safe custody items are properly maintained and regularly checked.

  • Ensure Domestic Payment Screening is completed as required.

  • Ensure adequate working tools and equipment are available and functional.

  • Ensure equipment is maintained and serviced according to agreed service-level arrangements.

  • Ensure tellers have sufficient cash and stationery to serve customers efficiently.

  • Ensure teller transactions are authorised on time.

  • Manage effective ATM replenishment and balancing.

  • Ensure recovery of all applicable fees according to prevailing tariff guides.

  • Conduct daily reviews of posted transactions.

4. Control Branch Treasury – 20%

  • Manage and control cash movement to and from the branch and ensure appropriate security arrangements are in place.

  • Manage ATM replenishment and balancing.

  • Monitor teller cash limits and total branch cash limits.

  • Report excess cash immediately and arrange appropriate insurance cover where required.

  • Ensure branch cash balances are reconciled daily.

  • Ensure full compliance with safety and security procedures.

  • Ensure the daily cash position is accurately reported.

  • Ensure strong-room keys are properly managed in accordance with policy.

  • Ensure proper handover of keys.

  • Ensure snap checks are regularly conducted and recorded.

  • Maintain total branch cash within approved limits.

5. Career and Personal Development – 10%

  • Remain updated on all relevant circulars, manuals, policies, and procedural changes.

  • Meet training objectives contained in personal training and development plans.

  • Proactively identify personal development areas and training requirements.

  • Maintain adequate knowledge of procedural changes taking place within NBC.

  • Maintain awareness of and comply with Know Your Customer (KYC) and Anti-Money Laundering (AML) requirements.

6. People Management – 15%

  • Supervise the branch team to ensure effective day-to-day operations.

  • Develop a high-performing team through regular operational performance discussions.

  • Support employees in preparing evidence for formal performance and development discussions.

  • Coach and mentor team members on improving productivity and effectively using the Bank’s systems and processes.

  • Monitor staff training plans and ensure scheduled training is completed.

  • Manage overtime and ensure optimal utilisation of staff working hours.

  • Coordinate staffing levels and develop appropriate plans to address identified staffing gaps.

  • Report excessive overtime and implement corrective measures.

  • Develop and maintain succession plans for the team.

  • Create a positive, professional, and harmonious working environment.

  • Supervise tellers and ensure efficient daily service delivery.

  • Allocate responsibilities according to operational priorities and workloads.

  • Communicate performance targets and monitor achievement across customer experience, employee satisfaction, cost management, risk, compliance, governance, and return on investment.

  • Develop monthly and quarterly operational plans to support annual objectives.

  • Provide clear direction on the Bank’s strategic priorities and ensure team understanding and commitment.

7. Branch Security – 15%

  • Ensure branch security alarm systems are functional and regularly tested.

  • Ensure CCTV cameras are installed and operating properly.

  • Ensure security door PINs are securely managed.

  • Ensure physical opening of the branch is carried out in accordance with policy.

  • Control access to the strong room, teller area, server room, and records room.

Qualifications and Experience

The ideal candidate should possess:

  • Bachelor’s Degree or Advanced Diploma in Business, Commerce, Management Studies, or a related discipline.

  • Experience working in a similar banking or financial services environment at junior management level.

  • Strong understanding of operational administration.

  • Good knowledge of banking products and services.

  • Strong quality and business improvement orientation.

  • Good digital literacy and familiarity with banking technology.

  • Ability to support and enable team success.

  • Openness and adaptability to change.
